The Mission

Community pharmacies run on tools that were never built for them. Staff schedules live in Excel and WhatsApp threads. Point-of-sale systems capture every transaction but surface none of it back to the team. Incentive programs, when they exist at all, are informal and inconsistent. PharmaCore set out to replace that patchwork with one platform, built specifically for pharmacy operations rather than adapted from generic retail or HR software.

The eCrop Strategy

For PharmaCore, eCrop didn't build a single tool, we architected a system: three connected modules sitting on top of a pharmacy's existing ERP, each solving a distinct operational problem, and an AI layer running underneath all three. The technical challenge wasn't any one module in isolation. It was designing them to share data and logic so the platform behaves like one product instead of three plugins bolted together, while never requiring a pharmacy to rip out the systems it already depends on.

Key Technical Deliverables

Calendar, the scheduling engine

We built an automated scheduling engine that generates shift allocations against staff availability, legal constraints, and coverage quotas, with day / week / month / year views. AI-based risk detection flags overloaded staff and rule violations before they become a problem, and every change is logged in a full audit trail. On top of that, we shipped a self-service leave module: staff submit one-off or recurring leave requests directly in the platform, each one validated automatically against schedule coverage before it ever reaches a manager. Requests stay reversible and trackable end to end, cutting the email-and-spreadsheet back-and-forth entirely.

Overlay, intelligence layer for the existing ERP

Rather than asking pharmacies to migrate off their ERP, we engineered Overlay as a layer that sits on top of it. It surfaces smart widgets with product suggestions and customer context directly inside the existing system, tracks customer interaction patterns to surface behavioral trends, and includes an AI copilot that answers natural-language operational questions on demand. Zero disruption to the underlying system was a hard requirement, not a nice-to-have.

Incentives, a structured performance engine

We built a goal-management system with per-employee tracking, a real-time performance dashboard covering sales growth and margin evolution, and an AI incentives consultant that analyzes results and recommends adjustments. The aim was to take incentive programs out of informal conversations and put them on a transparent, data-backed footing that both staff and managers can see clearly.

A shared AI layer across every module

Rather than isolated features, we designed one AI layer that threads through all three modules: burnout detection and automatic schedule rebalancing in Calendar, real-time product recommendations in Overlay, and personalized incentive suggestions in Incentives. Each module reads from and writes back to the same data model, which is what lets the platform act on a pattern in one module (say, a staff member's workload) as a signal in another.

The Result

PharmaCore now gives pharmacy managers what fragmented ERP systems couldn't: less administrative time spent building schedules, fairer and more transparent shift distribution, real-time visibility into sales and team performance, and a coverage system that catches conflicts before they hit the floor. The platform is live with its AI Staff Scheduler, with the POS Overlay and Incentives modules following.
